How much does EDI software cost?
It depends on how the vendor bills, and on you. The billing unit might be a flat subscription, each trading partner, each document, data volume, or services. Your partner count, document mix, integrations, testing scope, support, and contract terms then set the total. The quick answer above gives the published SignalEDI range and the market range buyers commonly see. The sections below show how to compare any quote with a twelve-month worksheet, and the EDI pricing page lists current SignalEDI entitlements and terms.
SignalEDI publishes four monthly software plans: Seasonal $99, Starter $199, Growth $999, and Enterprise $1999. Seasonal includes a published $20/month dormant mode for keeping partners, mappings, and history configured between active periods. Review the live EDI pricing page for current entitlements and terms.
What do EDI vendors publicly charge?
The following source review was refreshed on August 12, 2026:
| Vendor or model | What the official public source supports | What remains unknown |
|---|---|---|
| SignalEDI | Four published monthly tiers: Seasonal $99, Starter $199, Growth $999, Enterprise $1999 | Your required add-ons and implementation scope |
| Orderful Web EDI | The official pricing page lists $189/month per trading partner | Your partner count, product fit, services, and total term |
| SPS Commerce Fulfillment | The official Fulfillment page describes full-service EDI and invites a demo | One universal public rate card was not displayed on the reviewed page; request a written quote |
| Stedi | The official pricing page publishes transaction-type and volume tiers | Your exact transaction mix and volume; do not reduce the schedule to one generic per-document rate |
| Other quote-led vendors | A proposal may define subscription, implementation, and services | Everything not written in the current proposal |
This table deliberately does not repeat old marketplace estimates, customer anecdotes, or unsupported contract claims as vendor facts.
How do I work out the total cost of EDI?
Compare each vendor with the same equation:
Annual EDI cost = subscription + partner charges + usage charges + implementation + mapping changes + connectors + support + seasonal idle cost
Record these inputs:
- Active months and idle months.
- Number of trading partners or payers.
- Monthly documents by type: 850, 855, 856, 810, acknowledgements, or healthcare transactions.
- Required QuickBooks, ERP, WMS, or API connection.
- Implementation, mapping, testing, and training services.
- Support level, response targets, overages, renewal, and exit terms.
Self-serve onboarding is included on paid SignalEDI plans, with managed onboarding available as a paid add-on when a team wants hands-on launch support. Include that optional service in the worksheet only when it is actually in scope.
Use the EDI cost calculator to model only vendors with enough published evidence. Vendors without sufficient current evidence remain visibly not modeled instead of receiving an invented midpoint.
Is EDI cheaper if I only need it part of the year?
A seasonal supplier can be poorly served by a year-round cost comparison. Model active and dormant periods separately.
For example, if the public terms still fit your workload, four active months on Seasonal plus eight dormant months would use this software-price calculation:
(4 × $99) + (8 × $20) = $556/year
That is a plan-price illustration, not a quote for implementation, add-ons, partner approval, or a specific retailer program. Validate transaction volume, partner count, retention, and connection requirements before choosing it.
What should an EDI quote include?
Ask every vendor to put the following in writing:
- Product and plan name.
- Billing cadence and contract term.
- Included partners, documents, users, and volume.
- Implementation, mapping, testing, and training fees.
- QuickBooks or ERP connector scope.
- Support and service-level commitments.
- Overage, renewal, change-request, and exit terms.
If a row is absent, mark it unknown. “Typical” is not a contractual price.
Is price the only thing to check before choosing EDI software?
The cheapest subscription can still fail the mandate if the partner packet, identifiers, pack hierarchy, acknowledgements, or test evidence are incomplete. Start with the customer requires EDI guide, then run the requirements checker before committing to a plan.
For small-business product fit, continue to EDI software for small business. For QuickBooks intent, use the QuickBooks EDI guide. If a partner is asking about APIs instead of documents, read EDI vs API before you choose.
Prefer to start from the price list? See affordable EDI software for every published tier, or EDI with no per-document fees to compare billing models. Building against the API instead of buying a plan? Developer usage is priced separately on developer API pricing.
